Whitecaps London families must keep fees up to date under our payment plan and financial obligation policy, ensuring smooth participation and clear accountability throughout the season.
Payment Plan Policy
All parents or guardians must acknowledge this Payment Plan Policy during registration. Families who choose a payment plan must make payments on the scheduled dates provided. Failure to make a payment by the due date may result in the player being temporarily suspended from all club activities until the account is brought up to date. Continued non-payment may result in the player being removed from the program and the outstanding balance being sent to collections. In cases where payments are overdue by more than 30 days, the player may be suspended from participation in training, games, and events until full payment is received. Accounts more than 60 days overdue will be forwarded to collections.
If a player withdraws from the club at any point during the year, there will be no refund of fees paid to date, and no waiver of remaining financial obligations. A one-month payment will be charged beyond the date of withdrawal to cover administrative and de-registration costs. For example, if a player requests to leave the club on June 14, all payments made from November through June remain non-refundable, and the July payment will still be required.
If a player or parent is dismissed from Whitecaps London for disciplinary reasons or for breaching the Club Code of Conduct, there will be no refund of any fees paid up to that point, and all remaining fees remain payable. There are no discounts or pro-rated fees for players who take extended vacations or miss programming for personal reasons. Players are not permitted to participate in tournaments, showcases, or festivals if club fees are not current, or if additional event fees have not been paid by the deadline provided.
Families who received a sibling discount at registration understand that if one sibling leaves the club, the discount for the remaining sibling will be removed and the registration fee adjusted accordingly. All cheques must be made payable to “Whitecaps London.” Any returned cheques or failed credit card payments are subject to a $50 administrative fee.
Financial Obligation Agreement
By registering a player, the parent or guardian agrees to fulfill all financial obligations to Whitecaps London as outlined in this policy. Families acknowledge their responsibility to pay all assessed fees in full and on time according to the payment schedule provided. If fees fall into arrears by more than 30 days, and attempts to collect have failed, the club reserves the right to suspend the player from all training sessions, games, and club activities until payment is made in full. Accounts more than 60 days past due will be referred to collections.
Families understand that the payment plan divides total program fees into installments for convenience and does not represent a pay-as-you-go arrangement. All fees remain due for the full season once registration is complete.
Injury Policy
If a player suffers an injury that prevents participation in training or games, the club will follow the guidelines below regarding registration fees. For injuries resulting in up to seven weeks of missed programming, there will be no credit or refund. For injuries resulting in eight or more consecutive weeks of missed programming, the club will issue a credit for the portion of fees beyond the initial seven-week period, calculated by full months only (not by weeks). The credit will continue up to the player’s return to club programming, including any recovery training sessions completed under Whitecaps London supervision.
For example, if a player is injured on November 14 and returns for recovery training between November 21 and January 8, no credit will be issued. However, if the same player returns for recovery training between January 9 and February 4, a one-month credit will be applied.
All injury credits will be applied as future credits toward club programming and will not be issued as refunds.
