Whitecaps London requires all coaches and team officials to complete a Criminal Record Check (CPIC) and follows strict confidentiality protocols to safeguard personal information.

Whitecaps London requires all team officials to obtain a valid Criminal Record Check (CPIC) as part of the club’s volunteer screening process. The club maintains detailed records of all CPIC verifications and strictly follows confidentiality and privacy standards to protect personal information.

Once Whitecaps London receives information about an applicant—whether directly from the individual or from the police—the club becomes responsible for safeguarding that information under all applicable privacy and confidentiality laws. Personal data collected during the screening process is used solely to determine a candidate’s suitability for a specific position within the organization.

Only one designated member of the Volunteer Screening Committee is authorized to review personal information, including the police records check. All confidential information is stored securely in a locked cabinet, accessible only to the designated screening official. The club will retain confidential records only for the duration of the volunteer’s involvement with Whitecaps London and will take all reasonable steps to protect this information from unauthorized access or disclosure.

If a volunteer’s background check reveals a criminal record or other matter of concern, the Volunteer Screening Committee will review the findings collectively and determine the appropriate course of action.
